Business email on your domain gives your team consistent addresses such as name@yourbrand.com. This guide explains what to prepare before setting up Google Workspace or Microsoft 365 and connecting the service to your domain.
Before setup
- Confirm domain ownership and access to DNS settings or the administrator account.
- Decide how many user mailboxes you need, the addresses, plan and storage requirements.
- Prepare the user list and a secure way to hand over sign-in details. Do not send passwords in ordinary messages.
- If you are moving from another email provider, plan how to preserve messages and service during the transition.
Setup and connection steps
- Choose a provider and plan, and confirm the licenses needed for each user.
- Create accounts and addresses before routing incoming email, following the provider’s guidance.
- Verify domain ownership and add the required DNS records, including MX records for email.
- Complete the provider’s recommended email authentication and security settings, such as SPF, DKIM and DMARC where available.
- Test sending and receiving with external addresses, enable multi-factor authentication and set account recovery options.
After activation
DNS changes can take time to be recognized across providers. Do not remove previous email records until the migration is confirmed and messages are arriving. Review user access and renewals regularly.
